1. Fair refunds, no surprises
We believe in transparent, honest pricing. This policy sets out exactly what happens when plans change — with no hidden conditions. It works alongside our Booking & Cancellation Policy; where the two overlap, the terms are the same.
- 14-day processing — approved refunds are returned within 14 business days.
- Secure refunds — always to your original payment method.
- Email to cancel — a written request is all it takes to start the process.
2. How much you get back
Your refund depends on how far ahead of departure you cancel. The further out, the more you get back — calculated as a percentage of the total Trip price:
- 60+ days before departure — plenty of time: 100% refunded. The cancellation fee is your deposit only, and the full balance is returned.
- 30–60 days before departure — some notice: 50% refunded. A cancellation fee of 50% of the total applies; half the price is returned.
- Under 30 days before departure, or no-show: 0% refunded. The cancellation fee is 100% of the total; no amount is refunded.
- Special cases — exceptional circumstances (serious illness, bereavement, force majeure): handled case by case. Talk to us and we'll do what we can.
Where we can recover costs from our suppliers, we pass any recoverable amount back to you regardless of the tier above. This is why comprehensive travel insurance with cancellation cover is a mandatory condition of every Trip.
3. Non-refundable items
Some costs are committed on your behalf as soon as you book and cannot be recovered, so they are non-refundable at any tier:
- The 20% booking deposit — always non-refundable.
- Issued trekking permits and TIMS cards.
- National-park entry fees once obtained.
- Third-party flights and external services booked on your behalf.
4. If we cancel
If we cancel a Trip, your refund is more generous than the schedule above:
- Full refund for cancellations due to force majeure events, to the extent we can recover supplier costs.
- An alternative departure or Trip at no extra cost, if you'd rather travel than take a refund.
- Pro-rata refund if a Trip is curtailed mid-route for reasons within our control.
- We will only run a departure with the minimum group size; you'll have at least 21 days' notice if a departure can't go ahead.
5. Travel insurance
- Mandatory for all Trips — no exceptions.
- Your policy must include emergency evacuation cover to the maximum altitude of your Trip.
- Purchase it at the time of booking for maximum protection, so cancellation before departure is covered too.
- We are not liable for costs you incur without valid insurance.
6. How to request a refund
- Email us — send your cancellation request to hello@huxexped.com with your name, booking reference and reason.
- We acknowledge — we confirm receipt and begin processing within 2 business days.
- Calculated — we calculate your refund per the schedule above and send you a breakdown.
- Funds returned — the refund is processed within 14 business days via your original payment method.

Is the deposit ever refundable? The 20% deposit is non-refundable, as it covers permits and logistics we commit to as soon as you book.
Are permits refundable? Once trekking permits, TIMS cards or park fees are issued they cannot be recovered, so they are non-refundable.
